1. Start by launching the Mail application on your Mac.

2. In the top menu bar, click Mail, then select Preferences from the dropdown options.

3. Navigate to Signatures. Here, you will see a list of all existing signatures associated with your email accounts.

Deleting a Signature

Remove an existing signature by selecting it from the list on the left side. To delete it click the Minus (-) below the list. A confirmation prompt will appear; click OK to permanently remove the signature.

Note: that this action cannot be undone.

Adding a New Signature

To create a new signature, click the Plus (+) below the middle column. A dialog box will appear where you can enter a name for your new signature, for example, Work or  Personal depending on the account it is being used for.

Edit A Signature

After giving your signature a name, click the right pane to start typing your desired content. You can include details such as your name, title, company name, and contact information.

Create Different Signatures for Different Accounts

If you manage multiple email accounts in Apple Mail, you can create unique signatures for each one. Select an account from the left panel and then add a new signature as described in Step 4 above.

You can also use this step to create multiple versions for the same account and choose between them using the dropdown menu.

Set Default Signature

To set a default signature for a specific email account, select that account and choose your preferred signature from the dropdown menu next to Choose Signature. This ensures that this signature will automatically be included in emails from that account.

Designing Your Signature

Start by typing your desired text, including your name, title, contact information, etc. Next, use the formatting toolbar to change font, size, color, and add links. Add images like your logo and a photograph of yourself (if you want) by dragging and dropping an image file into the signature area. Ensure all images are properly formatted and hosted online if necessary. 

Use various formatting options in Apple Mail to enhance your signature. Consider using bold or italic text for emphasis and adding links to your website or social media profiles. If need be, include a legal disclaimer or copyright information.

It’s best to avoid having an overly long or complex signature as it can be difficult for people to read or find the information they want quickly.

In the signatures section, you may find an option called Always match my default message font. If you prefer custom formatting for your signature (different font styles or sizes), uncheck this box before saving. 

Decide where you want your signature to appear when replying to or forwarding emails by checking or unchecking the box named Place signature above quoted text. Once you have set up your signature, compose a new email to check its appearance. If it doesn’t show automatically, use the Signature dropdown menu in the compose window to select it manually.
